Overview

The client is a national nonprofit organization providing behavioral healthcare, child welfare, and social services to individuals and families across multiple states. As a healthcare provider handling sensitive and regulated data, they rely on secure, reliable systems to support operational workflows, reporting, and compliance requirements. The organization collects critical data through digital intake and workflow tools that support service delivery and care coordination.

As data volumes and reporting needs increased, they sought to modernize how form data was ingested, processed, and made available for analytics and automation. The organization engaged Oakwood Systems Group to design and implement a secure, scalable integration between JotForm and Microsoft Fabric that would support real time data ingestion while aligning with healthcare security and governance expectations.

Business Challenge

They needed a reliable way to ingest form based data into a centralized analytics platform while maintaining strict security and access controls required in a healthcare environment. Existing processes required manual intervention and did not support real time data availability, limiting the organization’s ability to use data efficiently for reporting and workflow automation.

In addition, form data was delivered in complex JSON structures that required transformation and validation before it could be used downstream. The solution also needed to align with HIPAA considerations, enforce least privilege access, and support secure connectivity between systems. The client required an approach that would automate ingestion, improve data consistency, and establish a governed foundation for analytics without introducing risk to protected health information.

Solution

Oakwood delivered the engagement using a phased approach spanning Identify, Design, Build, and Deploy. The project began with stakeholder interviews to confirm business requirements, data flow expectations, reporting needs, and compliance considerations. Oakwood reviewed their Azure tenant, existing infrastructure, access models, and network topology to establish a clear current state baseline and prepare for Microsoft Fabric configuration.

During the Design Phase, Oakwood evaluated webhook and API based integration options for JotForm and designed a real time ingestion architecture using Microsoft Fabric Eventstream. The team defined authentication methods, RBAC roles, and logical workspace and container structures to enforce least privilege access. Secure connectivity and data flow patterns were designed to support HIPAA aligned handling of sensitive information, and architecture diagrams and security plans were reviewed with stakeholders.

In the Build Phase, Oakwood configured the Fabric workspace, OneLake storage, and Lakehouse components required to support ingestion and analytics. Automated ingestion pipelines were implemented and tested using pilot forms to validate real time JSON ingestion, schema handling, and table generation. Transformation logic was applied to normalize incoming data and prepare it for downstream reporting and automation use cases. RBAC roles, network controls, and monitoring were configured across Azure services to support secure and reliable operations.

The Deploy Phase focused on operational readiness and validation. Oakwood monitored ingestion performance, validated access controls, confirmed data availability, and supported knowledge transfer to internal teams.

Outcome

The engagement delivered a secure and scalable integration that enabled the client to ingest form based data into Microsoft Fabric in real time. Automated ingestion and table generation reduced manual effort, improved data timeliness, and increased confidence in the accuracy and consistency of information used for reporting and workflow support.

Defined security controls, role based access, and encrypted connectivity strengthened governance and reduced risk when handling sensitive healthcare data. Centralizing data within a governed Lakehouse architecture improved visibility and made it easier for teams to access trusted information without relying on manual processes. With this foundation in place, the client established a platform that supports ongoing analytics needs and positions the organization to expand automation and reporting capabilities while maintaining compliance and operational confidence.
